AnyJunk Service Partner Privacy Notice

AnyJunk Limited (“we”, “us”, “AnyJunk”) is committed to protecting the privacy of suppliers (prospective or approved) that work with us.  The following privacy policy explains how we use and protect your personal information.

1.       What personal information do we collect about you?  

Joining the network and ongoing management

1.1.    When you apply to join our network, we require you to submit information about your business as part of the application.

1.2.    The information we collect is limited to what we need to review your application and manage the ongoing relationship correctly.  It is all the information you provide in the application form, as well as updates to that information that you provide.  It includes business name, address, contact details (operational and billing), bank account details, team member names and ID photos.

1.3.    We also collect information when you complete surveys and provide feedback.

1.4.    If you visit our Service Partner Portal, usage information is collected using cookies and through third-party analytical software such as Google Analytics.  Cookies are files placed on your computer to collect standard internet log information and visitor behaviour information. This information is used to track visitor use of the website and to compile statistical reports on website activity. You can control if your computer accepts cookies and how to remove them.  However, in a few cases, some of our website features may not function as a result.

Working with us (including the use of the App)

1.5.    When you agree to undertake a collection for us (the “Services”), we will process any additional information that you provide as part of the Services.  This could include different contact details and information about other work you are performing on a given day (if for example, you tell us that you cannot work for us because you are busy with other work elsewhere).

1.6.    When you use the AnyJunk Service Partner App (the “App”) we will record additional information directly and indirectly from the App.

1.6.1. Directly recorded information includes: the name(s) of the people performing the Services and their contact details; the data they submit through the App during the performance of the Services (i.e. photos, notes, weight and volume data, name and signature).

1.6.2. Indirectly recorded information includes: information about your usage of the App; accessing technical information from your mobile device or your use of our services through a mobile device (including location data and certain characteristics of, and performance data about, your device (including manufacturer, brand and model), carrier/operating system including device and connection type, IP address, interaction with other technology such as use of the camera, NFC Tags, QR Codes or use of mobile vouchers).

1.7.    At no stage do we intend to obtain or process any sensitive personal data from you.  If we do, we shall take all reasonable steps to permanently delete it.

2.       Why do we collect personal information about you and how will we use it?

Joining the network and ongoing management

2.1.    We collect information about you in order to review your suitability and, if approved, maintain an accurate and up to date record of our supplier network.  This is to enable us to work with you correctly and efficiently in accordance with our operating procedures.

2.2.    We will use this information to:

2.2.1. Manage your account, including sending work to you, facilitating communications between us and managing payments we make to you;

2.2.2. Administer, support, improve and develop our business to improve the services we offer and to help us prevent fraud;

2.2.3. Share your details with, and also receive information from, credit reference agencies and fraud prevention agencies; and

2.2.4. Contact you for your views on our Services and to notify you occasionally about important changes or developments to the App or our Services.

Working with us (including the use of the App)

2.3.    We collect information from you when working with us to enable us – and you – to provide the Services correctly and efficiently.

2.4.    We will use this information to:

2.4.1. Communicate with you and the customer (including estimated times of arrival and live tracking in connection with your use of the App and work with us);

2.4.2. Facilitate the services we provide customers.  This includes providing support to customers and Service Partners, sending product updates and administrative messages, facilitating reports and payments, sending receipts and authenticating users; and

2.4.3. Improve products and services, develop new features, perform internal operations (including fraud prevention and abuse of our services), troubleshoot software bugs and operational problems, conduct data analysis, testing, and research and to monitor and analyse usage and activity.

2.5.    This information is mostly collected by us automatically (i.e. without human intervention).  The information is reviewed and used in automatic processes, but they are subject to human oversight and final decision making.

2.6.    We collect, retain and use the information as we have a legitimate interest in doing so (as defined in the General Data Protection Regulation).  The basis for this is:

2.6.1. We have a commercial interest in processing the information as critical to our ability to provide the Services in accordance with our legal obligations.

2.6.2. The processing is necessary to ensure that you and we can provide the Services lawfully and in accordance with our legal obligations.  We do not consider there is any other way to achieve our aims without processing the information.

2.6.3. We only process the information we need to provide the Services.  We have considered your rights and interests in determining what information we store and use and consider that they are not unduly impacted.

2.7.    We store the information we collect in the cloud using the third-party hosted services.  This data is only stored within the EU.

3.       Disclosure of your information

3.1.    We will share the information you provide to us with our customers to enable us to provide the Services.  For example, we share your name, photo, vehicle registration and location as well as waste details and photos of waste (as detailed in the Operations Manual).

3.2.    The information you provide to us will be transferred to and stored on our servers that are provided by third parties.  Third parties may process information and provide support services related to services for us.  We will take all steps reasonably necessary to ensure that your data is treated securely and in accordance with this privacy policy.

3.3.    We may allow carefully selected third parties, including marketing and advertising companies, our affiliates and associates, to contact you occasionally about services that may be of interest to you that are related to the Services. They may contact you by telephone, SMS as well as by e-mail. If you change your mind about being contacted by these companies in the future, please let us know by using the contact details set out below.

3.4.    If we enter into a joint venture with, purchase or are sold to or merged with another business entity, your information may be disclosed or transferred to the target company, our new business partners, owners or their advisors.

3.5.    We may use the information that you provide to us if we are under a duty to disclose or share your information in order to comply with (and/or where we believe we are under a duty to comply with) any legal obligation, or in order to enforce our terms or other agreement, or to protect the rights of AnyJunk, customers or others. This includes exchanging information with other companies and other organisations for the purposes of fraud protection and prevention.

4.       Retention

4.1.    We retain the information you provide to us or we generate when performing the Services for a minimum of 7 years in order to comply with our legal obligations to the Environment Agency and tax authorities.

4.2.    Thereafter, we carry out regular reviews of the information we store and will anonymise or delete information as is appropriate.

5.       Your rights

5.1.    You have the right to request a copy of the information that we hold about you. If you would like a copy of some or all of your personal information, please email or write to us at the address below in section 8.  We may make a small charge for this service.

5.2.    You may ask us to correct or remove information you think is inaccurate – we want to make sure that your personal information is accurate and up to date.

5.3.    You have a right to lodge a complaint about how we process your data with the Information Commissioner’s Office.

6.       Other websites

Our website contains links to other websites. This privacy policy only applies to this website so when you link to other websites you should read their own privacy policies.

We keep our Privacy Notice under regular review and we will place any updates on this web page.  This Privacy Notice was last updated in May 2018.
